Rooms reserved at the group rate will have a base rate of $208/night, plus $25 resort fee (normally $40). The Group Rate covers all guest sleeping room costs, including service fees, but is exclusive of applicable sales/room tax. Housekeeping and other gratuities will be at guest discretion.

Applying for a USA Visa

For authors traveling from outside the USA, you may need to obtain a visa from the USA consulate or embassy in your own country.

To assist you, we can provide a Letter of Invitation. If you require a Letter of Invitation, please request your letter by February 15th, since it can take 2 to 3 months for your local embassy to review your application and grant an approval. We will address the letter to “To Whom It May Concern” unless you give us the city of your nearest USA embassy, or an organization or person.

Please send your request email to support@ieee-itherm.net with the following required information:

• Name;
• Organization (company or university);
• Job position/title or student status;
• Business mailing address including city;
• Business telephone number;
• The abstract number(s) or title of your paper(s);
• Place and date of birth; and
• Passport number, issue date, expiry date, and country of issue

Co-authors are also welcome to register and to receive a Letter of Invitation.

You will receive a PDF of a formal Letter of Invitation, suitable to submit to the USA consulate or embassy. Those traveling from outside the USA and belonging to a visa waiver program (VWP) participating country may not need to apply for a visa.
